Document Processing/Proposal Assistant

PaleoWest is currently seeking a Document Processing/Proposal Assistant for our Monrovia office. This is a part time/project based, hourly position that comes with potential growth within the company and an opportunity to gain experience. The successful applicant will work closely alongside our principals and project managers to provide essential top-quality proposals. You will assist these professionals in winning new work by preparing proposals that ensure that the service we provide and the materials we produce are responsive, thoughtful, thorough, and clear.

Responsibilities include but not limited to:

  • Preparation of Statement of Qualifications and proposals
  • Analyze requirements and ensure that proposals meet requirements
  • Resolve issues and set priorities for proposal development
  • Develop proposal schedule, outline, and compliance matrix
  • Preparation of marketing materials like resumes, project experience write-ups, and organization charts
  • Coordinate inputs from other departments and lines of business; communicate across teams to obtain input and meet deadlines
  • Coordinate, facilitate, and present internal reviews with upper management
  • Assists with creation, production, and copyediting of all print materials
  • Maintaining marketing files, folders, and templates
  • Assist with other duties as assigned by the marketing coordinator


  • Associate degree or Bachelor's Degree in Marketing, Communications or related discipline
  • Excellent written and verbal communication skills
  • Excellent knowledge of Microsoft Office 365 (Word, Excel and Outlook)
  • Experience with InDesign and Photoshop
  • Ability to multi-task and prioritize workload to meet deadlines
  • Creative mindset & positive attitude
